1. Where are the Enterprise Rent-A-Car Locations for Bloomington and Indianapolis?

There are two Enterprise Rent-A-Car locations in Bloomington located at:

  • North Branch
  • 1601 North College Ave

The main Enterprise Rent-A-Car branch in Indianapolis is located at:

  • 107 S. Capitol Ave
  • Indianapolis, IN 46225

In addition to these locations there are around 100 total locations throughout the state. Enterprise Rent-A-Car is privately owned and the Indiana University account will be honored at all locations throughout the country.

2. What are the Hours of Operation?

The Enterprise Rent-A-Car office located at 1601 North College (North Branch) is open during the following hours:

  • Monday: 7:00 AM - 6:00 PM
  • Tuesday - Friday: 8:00 AM - 6:00 PM
  • Saturday: 9:00 AM - Noon

The Bloomington South Branch office is open during the following hours:

  • Monday - Friday: 8:00 - 6:00 PM
  • Saturday: 9:00 AM - Noon

All rental vehicles need to be picked up during the above office hours and rental charges begin upon the traveler taking possession of the vehicle's keys.

3. Can a Vehicle be Rented Outside of These Hours?

If you need to leave for a trip prior to our office opening in the morning you are allowed to pickup the rental vehicle the night before your trip. If you pick your vehicle up between the hours of 4:00 pm until close of business we will not start the rental charges until your trip begins the following morning. We refer to this service feature as a “Jump Start” as we are starting the rental charges at a time later than we you take possession of the rental vehicle.

For example: A traveler wants a vehicle at 4:00am on a Tuesday morning. This traveler can pickup the rental on Monday evening between 5:00 pm and 6:00 pm and we will not begin the rental charges until 5:00 am the following morning.

4. What if I Need to Return Vehicles After Enterprise is Closed?

If you need to return a rental vehicle after our office is closed, there is a drop box for the keys at the Bloomington North Branch only. DO NOT lock the keys in the vehicle as we only carry one set of keys per vehicle.

5. How do Charges Accrue During the Rental?

All rental charges begin immediately when the renter takes possession of the rental vehicle. The only exception is if we provided a “Jump Start” service and the traveler picked the rental up at the close of business for an early morning (prior to our branch opening) departure. Rental charges stop at the time the vehicle is returned to our office and we are given the keys back. If a renter returns while we are closed the charges stop at the time they dropped the vehicle off to us. Each rental day is based on 24 hour clock. If a renter starts their rental at 9am they have until 9am the following day before an additional rental day charge would begin.

6. Who are the Approved Drivers?

Any University traveler must be approved by Risk Management in order to rent a vehicle for University purposes. To be approved each traveler must fill out the Authorization Form for Motor Vehicle Records Check online via IU’s Risk Management website.

University policy requires that, as a condition for driving any vehicle on university business, drivers will give Indiana University authorization to conduct a Motor Vehicle Record (MRV) check and provide all necessary information for the check. Driving on university business will be prohibited if authorization to conduct a MVR check is not given.

7. Explain Campus Parking With the Rental Vehicles:

Renters have 2 options for parking rental vehicles on campus. Indiana University has requested that travelers use their own campus parking permits and place them in the rental vehicle. If a traveler does not have a personal permit the University has provided Enterprise Rent-A-Car with hang tags to distribute for campus parking. These tags are available at the main campus locations only.

8. How are Parking Tickets Handled?

Travelers will be responsible for any parking tickets or moving violations they receive while traveling in rental vehicles.

9. How Do I Reserve a Vehicle?

All reservations must be made through the University’s travel website. As travelers reserve through the travel website you will be issued a “Trip #” and be directed to the Enterprise Rent-A-Car website. You will then have to select if your trip is going to originate in Indiana or outside Indiana. Once on the Enterprise Rent-A-Car website you can select which location you wish to rent at, your dates and times of travel, and the size vehicle you wish to rent.

** Please make sure all reservations are made under the name of the individual that will actually be picking up the rental vehicle.

** Please be sure to select a specific time at which you will be picking up the rental vehicle. If your pickup time needs to be changed, feel free to call the rental office directly or change your pickup time online.

10. Once I have submitted the rental request (web form) from the Travel website, how long will it take to receive an email containing the link to Enterprise that I will use to book my rental car reservation?

If it is a regular business day and you've submitted your request between the hours of 8:00 a.m. - 4:00 p.m. you will receive an email notification containing the Enterprise link within two hours. If it is a regular business day and you have submitted your request after 4:00 p.m. your request will be processed by 9:00 a.m. the following business day.

11. How Is My Fiscal Officer Notified Whenever I Make An Enterprise Rent-A-Car Reservation or Cancellation?

It is up to the traveler or travel arranger to forward reservation and/or cancellation information to the fiscal officer of the account being used to charge the rental vehicle. Enterprise-Rent-A-Car personnel do not have access to University systems and therefore cannot determine the fiscal officer assigned to University accounts in which to transmit reservation information.

12. Explain the Pick-up/Delivery Service:

If you need Enterprise Rent-A-Car to bring a vehicle to you, please reserve your rental via the University’s travel website then call your local Enterprise Rent-A-Car office directly to work out your pick-up or delivery needs.

Delivery of vehicles will be specific and unique to each of the different IU campuses. Parking availability and permits will require thorough communication if a delivery is required. Please be sure to speak directly with your local Enterprise Rent-A-Car office to work out these details if this service is needed.

13. Do I have Insurance Coverage Through the Enterprise Campus Rental Program?

Full Collision Damage Waiver and Supplemental Liability Protection coverages are included in the rates for business rentals. Do not take out any additional insurance coverages.

14. What are the Different Types of Vehicles Available Through Enterprise?

Enterprise Rent-A-Car carries a wide range of vehicles from which to choose. We carry everything from economy size vehicles to trucks and vans. Most of these vehicles can be reserved via the normal online reservation system. If a vehicle does not show it is available to be reserved online, please contact your local Enterprise Rent-A-Car office.

For any box truck or ¾ ton pick-up truck need, please call the on campus motor pool office at 812-855-3300. Only call the on campus motor pool office in Bloomington for these specialty vehicle needs. All other size classes of vehicles need to be reserved via the travel website.

15. How is the Payment for Rental Vehicles Handled?

All rentals originating inside Indiana will be paid for by the University with a Ghost credit card. The traveler will not be required to provide a personal credit card. However, you must have a valid ‘Trip #’ for the university to pay for the rental.

All rentals originating outside the state of Indiana need to be paid for by the traveler with a personal credit card.

16. How can a Traveler Receive a Trip # for Travel?

Travelers need to reserve vehicles via the University’s travel website to receive a trip #.

17. What Happens if I Rent Without a Trip #?

We will be able to rent to and provide the proper rates to all IU renters even if they do not have a trip #. However, without a trip # Enterprise Rent-A-Car will not be allowed to bill the University for the rental and the traveler will need to use a personal credit card to secure the rental.

18. Are Additional Drivers Allowed?

For any business travel rental the University will not allow any non-University related individuals to be listed as an additional driver.

19. How are Personal Rentals Handled?

Personal use discounts are available throughout the world for anyone affiliated with Indiana University. The discount code to reference to receive this discount is XZ08038. You can take advantage of this discount by calling any local office directly, calling 800-736-8222 (800-Rent-a-car), or visiting www.enterprise.com. If you use www.Enterprise.com, be sure to enter the XZ08038 discount code on the first page. When prompted for a 3 letter pin # simply enter the first three letters of the account’s name “IND.”

20. What if I Need to Cancel my Reservation?

If a traveler needs to cancel an existing reservation we ask for a 24 hour notice. There is no cancellation fee, however, a cancellation notice is very helpful in allowing us to better serve all University travelers.

21. Can I Rent a Vehicle Capable of Towing?

Towing with a rental vehicle is allowable only at the Bloomington campus location of Enterprise Rent-A-Car. If you need a vehicle capable of towing please reserve your rental via the University’s travel website. You will then need to call the rental office directly to inform us of your towing need.

22. Are Extra Keys Available for the Rental Vehicle?

For security purposes we only carry one set of keys per vehicle.

23. What do I do if I Have an Accident or Trouble on the Road?

If you have a problem on the road (accident, breakdown, lost keys, etc…) please call our 800 # for 24/7 roadside assistance at 800-736-8222. You can also contact the branch you rented from directly and they would be able to assist you with your situation.

In addition, all University travelers are required to contact IU Risk Management immediately in the event of an accident at 812-855-9758.

24. What are the Discount Code Numbers I Need to Use?

  • All American Express Corporate Cards will expire March 28, 2009. Your new Corporate Card will be issued mid March, 2009. You should receive your new American Express Corporate Credit Card two to three weeks from the time your new card is mailed. Enclosed with your American Express Corporate Card, you will also receive card activation instructions as well as an overview of the corporate card program. PLEASE READ THESE INSTRUCTIONS CAREFULLY. You can begin using your new American Express Corporate Card after activating your account through the 800 number. NOTE: The security code to activate your account number is the last four digits of your social security number.

  • To activate a new travel card, call the Corporate Card Center's Customer Service Department (1 800 274 7378). For security reasons, the cardholder will be asked to verify some personal information. Note: the cardholder's last 4 digits of SSN - which was provided to American Express via the application - is the card's security code. The Corporate Card becomes activated immediately following the call.
4. If the Corporate Card was received with a mistake (misspelled name, for example), how should this be changed?

  • Cardholders who received the Corporate Card with errors (such as a misspelled cardholder name), should call the American Express Corporate Card Center directly. A correct card will be mailed to the cardholder at no cost. A American Express Corporate Card Center representative will notify the cardholder as to whether or not the account # will stay the same.

  • Cardholder statements will be received approximately one week after the close of the billing cycle. American Express will mail your Corporate Card and all future statements to the same mailing address in which you requested on your application.
8. Is the American Express Corporate Card like other American Express credit cards?

  • No. Unlike other American Express cards that are revolving line of credit, the American Express Corporate Card is a charge card. The balance is payable in full before the next billing.
9. How do we charge airline tickets?

  1. Call one of the Designated Travel Agencies or booking through IU's on-line travel planner.
  2. Give the agent your Department Code, and the request number, (assigned by the department).

  • Our rental car agency, National Car Rental, will revise their files to show your American Express Corporate Card number as your payment mechanism. Your membership numbers and privileges will not be affected. Please check before you travel to make sure your credit card information has been updated.
11. How does this affect my rental car membership?

  • Cardholder benefits include: 24 hour emergency card replacement, automatic travel accident coverage, excess baggage insurance, full value primary auto collision/loss damage waiver insurance and personal effects coverage, 24 hour roadside assistance, and travel medical protection. 12. Does the American Express Corporate Card provide car rental insurance coverage?

  • American Express's Insurance Coverage provides you with Collision and Loss Damage Insurance when you rent a car for 31 days or less. The phone number for rental car claims is 1 800 826 1300. 13. Is there travel accident insurance coverage?

  • As an American Express cardholder, you are eligible for coverage on the date your credit card is issued. You and your dependents become covered automatically when the entire travel fare is charged to your eligible credit cards.
14. Can I designate a beneficiary for the travel accident insurance?

  • No. Benefits are paid to the first surviving of your spouse, children, parents, siblings or to your estate.
15. What happens if your luggage is lost or damaged?

  • American Express provides lost/damaged assistance when the common carrier ticket was charged to your American Express Corporate Card.

At the time of reservation, National will compare the negotiated rates with other available retail rates. The lower rate is confirmed and guaranteed, In addition, National Car Rental will apply a discount to promotional and holiday rates. Be sure to identify yourself by providing the corporate discount number.

2. What is the Emerald Club Service Progarm and how do I enroll?

The Emerald Club is National's premier service program. Membership is free to all Big Ten travelers. At most major airports, the service takes you away from the lines at the counter to the Emerald Aisle. You choose the car you want to drive and you're on your way. Enclosed in your packet of certificates is a fee-waived Emerald Club membership coupon. Present the certificate at a National counter and they can enroll you at no charge. You may also enroll by mailing the coupon to National.

3. What if I am already an Emerald Club member?

Ensure the Emerald Club profile contains correct data, including the university name and corporate discount number. If the Emerald Profile does not contain the university name and discount number you may not be eligible for Big 10 benefits. Inquire at the time of rental or return and be sure the university name and discount number is on the rental document. Rent one time per year using your Emerald Club card and your membership will be automatically renewed. Please give your Emerald Club number to your travel agent. For Emerald Club profile questions, call National at (800) 962-7070.

5. Should I accept the optional Loss Damage Waiver?

No, the optional Loss Damage Waiver is included in the rate program and should be declined. Accepting the Loss Damange Waiver Option would simply duplicate the negotiated program benefits. The Loss Damage Waiver is included on business and personal rentals. The Loss Damage Waiver (LDW) eliminates the renter from responsibility when the care is involved in either a collision or comprehensive incident (theft, fire, vandalism, damage to vehicle as a result of hitting another car/object).

6. What optional coverages will be reimbursed by the University when I rent from National?

When traveling in the United States, the University will not reimburse you for any optional coverages, such as the Loss Damage Waiver, Supplemental Liability Insurance, Personal Effects Coverage and Personal Accident Insurance. These should be declined on the Emerald Club application to ensure you will not be chaged for these options.
